At EZ Stitch Digitizing, all of our assets are custom-crafted based on your unique artwork. Because our services are entirely digital and tailor-made, delivered files are non-returnable by nature. However, we stand firmly behind the mathematical and technical precision of our work. We are committed to ensuring your designs are flawless and production-ready.


1. Our Revision Guarantee (Commitment to Quality)

Before a refund is evaluated, we provide comprehensive, unlimited revisions to correct your file. Every order includes full technical support to ensure optimal production layout:

  • Embroidery Digitizing: Unlimited edits, density adjustments, underlay alterations, and path optimization until the design meets your approval.

  • Vector Conversion: Precision vector refinement, node optimization, and format adjustments.

  • Sizing Modifications: Minor scaling adjustments where technically viable without compromising stitch integrity.

We will work closely with your production requirements until the file is ready for your machine or print bed.


2. Eligibility for a Refund

A refund may be evaluated and approved exclusively under the following circumstances:

  • Delivery Failure: We fail to deliver the completed asset within the explicitly agreed-upon timeframe, and you no longer require the file (provided cancellation occurs prior to delivery).

  • Technical Unusability: The delivered file contains fundamental technical defects and cannot be successfully corrected or optimized after multiple revision attempts.

  • Design Deviation: The final output significantly deviates from the original artwork specification provided, and our team is unable to correct it through the revision process.

For Vectorizing Services specifically: A refund may be issued if the final vector asset remains technically incompatible for its intended production application (e.g., Screen Printing, DTF, DTG, Sublimation, Laser Engraving, or Vinyl Cutting) after targeted revision attempts.


3. Non-Refundable Situations

To maintain our competitive pricing model and fair workflow ecosystem, refunds cannot be issued in the following scenarios:

  • Change of Mind: You decide to cancel or request a refund after production has commenced or the files have been delivered.

  • Client Specification Errors: You provided incorrect source artwork, specified the wrong dimensions, or requested an incorrect file format during checkout.

  • Production Variables: The file is rejected due to local machine brand compatibility, incorrect thread selection, or improper machine tension setup.

  • Unused Deliverables: You decide not to utilize the completed file after it has been successfully delivered.

  • Scope Creep / New Artwork: You submit a new graphic design or request a different layout variation instead of modifying the original submission.

  • Low-Quality Source Media: The provided artwork does not meet the minimum resolution required for accurate digitization or vectorization (Note: Our team will always attempt to alert you regarding low-quality assets before production begins).


4. Dispute & Chargeback Policy

We value transparency and direct communication. If you experience an issue with an order, please contact our support desk immediately at info@ezstitchdigitizing.com before initiating a formal dispute or chargeback with your banking institution.

We review all inquiries within 24 hours and pledge to resolve genuine technical errors swiftly. Please note that chargebacks filed without prior communication will be systematically contested with comprehensive documentation, including original artwork logs, time-stamped delivery receipts, and software-rendered sew-out data.


5. How to Submit a Review Request

If your file requires deep technical assessment or a refund review, please email info@ezstitchdigitizing.com with the following details:

  1. Order ID Number

  2. Original Source Artwork

  3. Target Machine Format & Production Setup

  4. Detailed Description of the Issue

  5. Visual Evidence: Screenshots of the software layout or a clear photo of the physical machine sew-out/test stitch.

Our engineering and digitizing team will audit the request and respond with a resolution or update within 24 business hours.


6. Service & Pricing Scope

This policy governs all standard client transactions, custom quote agreements, and tiered service buckets—including Standard Logo Digitizing ($8), Pro Logo Digitizing ($15), Complex Designs ($20+), and custom-quoted Vector Conversions. All prices are structurally locked to the specific parameters agreed upon at checkout.
